Privacy policy

Last updated: 6 November 2026

This privacy policy explains how Harlington Property Management Ltd (“Harlington”, “we”, “us”, “our”) collects, uses and protects personal information when you use this website or contact us.

“Personal information” means any information that identifies, or can be used to identify, a person.

Harlington Property Management Ltd is responsible for the personal information described in this policy. We aim to handle it responsibly and transparently, in line with UK data protection law.

We are registered with the Information Commissioner’s Office under registration number ZC089215. View our ICO registration certificate (PDF).

1. Information we collect

Information you give us

You may give us personal information when you:

  • email or phone us
  • send us an enquiry through the enquiry form on our website, where the form is available

The enquiry form is also available while the website is under maintenance. If you would rather not use the form, you can always email or phone us instead.

The information you give us may include:

  • your name, email address and phone number
  • how you would prefer us to contact you
  • details of a property you own or want to rent, such as its address, type, number of bedrooms, your budget or your move date
  • anything else you include in a message to us

Enquiries sent through the website form are stored in the Microsoft 365 system we use to manage customer enquiries, so that our team can respond and keep a record of what you asked.

Address search

Where the enquiry form is available, you can search for a property address. The search is provided by Ideal Postcodes. The text you type and your IP address are sent to Ideal Postcodes to find matching addresses and to prevent misuse of the service. The address you choose is kept in your browser, and cleared when you close the tab, so the enquiry form can start from it. It is only sent to us if you submit an enquiry.

Spam protection

Where the enquiry form is available, it uses Cloudflare Turnstile to check that the form is being used by a person rather than an automated program. Turnstile is not loaded on pages that do not show the form.

Technical information

Our website is hosted by Cloudflare. When you visit, Cloudflare may automatically record limited technical information, such as:

  • your IP address
  • your browser type and version, and your operating system
  • the date and time of your visit
  • the pages you request and the page that referred you
  • details of any errors

We use this information to run, secure and troubleshoot the website. We do not use it to build marketing profiles.

Cloudflare also provides Web Analytics, which we use to count visits to the website, for example how many people visit, which pages they view, which website they came from, and the type of browser and device and the country they use. It does not use cookies or store anything on your device, and we use it only to see overall trends. It runs whatever you choose in our cookie banner.

Service monitoring

To keep the website running and to find and fix faults, our own software records a short log entry for each request to the website. Each entry holds the address of the page requested (without anything after a question mark), the type of request, the response status, how long the response took and, if something went wrong, the kind of error. When an enquiry is sent, the entry also holds a random reference number, which lets us match it to your enquiry if something goes wrong. These logs do not hold the contents of enquiries, names, email addresses, phone numbers or message text.

These logs are sent to Grafana Labs, which provides our monitoring service. This monitoring is essential to running the website securely and reliably.

Website analytics

If you accept Statistics in our cookie banner, we use two analytics services to understand how the website is used and to improve it: PostHog, which counts visits and shows how visitors move through the website, and Microsoft Clarity, which shows where visitors click and scroll and lets us review recordings of visits.

They receive the pages you visit (without anything after a question mark), where you click and scroll, which of our buttons and links you use, whether you start or send an enquiry (but not what you write in it), the type of browser and device you use, your approximate location, and a random identifier for your browser. Recordings show your visit as it happens on the page. What you type into forms and address boxes is masked, so names, email addresses, telephone numbers, addresses and messages are not recorded. We do not identify visitors from this information, and we do not link it to your enquiry.

Nothing is collected unless you accept Statistics. You can change your mind at any time using the Cookie settings link at the bottom of every page. If you withdraw consent, collection stops and the page reloads.

Cookies

Our use of cookies and similar technologies is explained in our cookie policy.

2. How we use personal information

We use personal information to:

  • run and secure our website, and find and fix faults
  • respond to your enquiry and contact you in the way you asked
  • provide our services if you go on to instruct us
  • keep business records and handle administration
  • understand how the website is used and improve it, if you accept Statistics
  • meet our legal and regulatory obligations

We only use personal information where we have a lawful basis, such as:

  • our legitimate interests, for example responding to enquiries, keeping our systems secure, monitoring that the website is working and counting visits to it
  • taking steps at your request before entering into a contract, or performing a contract with you
  • complying with our legal obligations
  • your consent, for the optional analytics described above, which you can withdraw at any time

We do not sell or rent your personal information, and we do not use it to build advertising profiles or for behavioural advertising.

3. Who we share information with

We share personal information only with the service providers that help us run our website and business, and only as far as they need it to provide their service to us:

  • Cloudflare, which hosts and protects our website and provides Turnstile spam protection
  • Grafana Labs, which provides our monitoring service for the logs described above
  • Microsoft, which provides the system we use to store and manage enquiries and, if you accept Statistics, Clarity (heatmaps and recordings)
  • PostHog, which provides website analytics if you accept Statistics (hosted in the European Union)
  • CookieYes, which provides our cookie banner and records your cookie choices
  • Ideal Postcodes, which provides the address search

We may also share information where the law requires us to.

4. Security

We use appropriate measures to protect personal information against unauthorised access, misuse, loss or alteration. However, no method of sending or storing information online is completely secure.

5. How long we keep information

We keep personal information only for as long as we need it for the purposes it was collected for, including:

  • responding to your enquiry
  • providing our services, if you instruct us
  • meeting legal and regulatory obligations
  • keeping records and maintaining security

We review enquiry records periodically and delete or anonymise them when they are no longer needed for these purposes.

Analytics data, if you accept Statistics, is kept only for as long as it is useful for improving the website. Recordings are kept for a short period and then deleted by the service that holds them.

6. International transfers

Some of our service providers may store or process personal information outside the UK. Where this happens, we rely on safeguards recognised under UK data protection law, such as standard contractual clauses. This includes Microsoft, which may process Clarity data outside the UK and the European Economic Area.

7. Your rights

Under UK data protection law, you have the right to:

  • access your personal information
  • ask us to correct inaccurate information
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to how we use your information
  • withdraw your consent, where we rely on consent
  • ask for your information in a portable format

To exercise any of these rights, email us at enquiries@harlingtonproperty.co.uk.

We will respond within the time required by law.

If you are unhappy with how we have handled your personal information, you can complain to the Information Commissioner’s Office (ico.org.uk). We would appreciate the chance to deal with your concern first.

8. Data breaches

If a data breach affects your personal information, we will tell you and the relevant authorities where the law requires us to.

9. Business transfers

If Harlington Property Management Ltd is acquired by, or merges with, another company, your personal information may be transferred as part of the business. The new owner would need to continue to handle it in line with this privacy policy.

10. Links to other websites

Our website contains links to other websites. We are not responsible for how they handle personal information, so please read their privacy policies.

11. Changes to this policy

We may update this privacy policy from time to time. The current version will always be on this page, with the date it was last updated.
